Terms of Service

Last updated: 8 September 2026

These Terms govern use of FirstPhysio, operated by HyperLogic Solutions Ltd (“we”, “us”). FirstPhysio is in private trial and is available by invitation only. By using an access code issued to your clinic, you agree to these Terms.

1. The service

FirstPhysio transcribes a physiotherapy consultation and returns a draft SOAP note for the clinician to review. It is a drafting aid. It is not a clinical record system, does not store notes, and does not make clinical decisions.

2. Trial status

The service is a trial. It may change, be interrupted, or be withdrawn at short notice, and it is provided without any guarantee of availability. Do not rely on it as the only route to producing your clinical records.

3. Access

Access is by invitation code issued to a clinic. There are no user accounts and no registration. You are responsible for keeping your clinic’s code within the clinicians it was issued for, and for telling us promptly at firstphysio.ai@gmail.com if it is shared more widely than intended.

4. Who may use it

You must be a qualified physiotherapist, or working under the supervision of one, at a clinic we have invited.

5. Patient consent

You are solely responsible for obtaining appropriate informed consent before using the service in a consultation. The application provides suggested wording; using it does not discharge your professional or legal obligations.

6. Clinician review is required

Every note the service produces is a draft. Transcription and drafting both make mistakes, including mis-hearing clinical terms. You must read and correct the draft before any part of it enters a patient record. We accept no liability for clinical decisions taken on an unreviewed draft.

7. Acceptable use

8. Data responsibility

The service runs inside your clinic’s own cloud account, under your clinic’s agreement with Amazon Web Services. Your clinic is the data controller for its consultations, and no patient audio, transcript or note passes through our infrastructure. We operate and maintain the application on your behalf. See our Privacy Policy.

9. Costs

During the trial we charge no fee. Cloud usage — transcription and note drafting — is billed by Amazon Web Services directly to your clinic’s account. Access codes control who may use the service; they are not a payment mechanism.

10. Limitation of liability

Nothing in these Terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited. To the maximum extent permitted by law, and given that the service is provided free of charge during the trial, we are not liable for indirect, incidental or consequential loss, nor for loss of profit, goodwill or data, arising from its use.

11. Ending access

You may stop using the service at any time. We may withdraw an access code, or end the trial, at any time. Because no consultation content is stored, there is nothing of yours for us to delete when access ends.

12. Changes to these Terms

We may update these Terms. The date above shows when they last changed, and material changes will be notified to trial clinics directly.

13. Governing law

These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
